Terms of Service
These Terms of Service describe your use of the PoolDocAI website, educational Resources, and any product features made available to you. In these Terms, “PoolDocAI,” “we,” and “our” refer to the PoolDocAI service operator; “you” means the person or organization using the service. Use of interactive tools may require separate affirmative acceptance or an additional company agreement.
1. Service and account access
PoolDocAI may provide conversational troubleshooting, manufacturer-source research, document search, technician workflows, service-request summaries, usage reporting, and company knowledge-management features. Available features depend on account, plan, configuration, and release status. You are responsible for protecting login credentials, promptly revoking access for departing users, and ensuring users are authorized to access your company’s data.
2. AI-assisted information is not a guarantee
Responses may be incomplete, inaccurate, outdated, or inappropriate for a particular installation. Sources and model outputs do not replace the equipment manufacturer’s instructions, local codes, licensing requirements, chemical labels, inspection, or professional judgment. Confirm important information against current authoritative documentation and the actual equipment before acting.
3. Safety responsibilities
Do not use PoolDocAI to override a safety hold, bypass a protective device, or perform work beyond your training or authorization. Electrical, gas, chemical, pressure-vessel, entrapment, structural, and other hazardous conditions require appropriate isolation and qualified professional judgment. Stop work and keep people clear when conditions appear unsafe. AI output is not an emergency-response service and does not dispatch a technician unless an explicitly contracted workflow states otherwise.
4. Company documents and permission to process
When you upload a manual, service record, webpage, image, SOP, policy, or other material, you represent that you have authority to submit it for the selected processing and reference purposes. You must not upload material unlawfully obtained, confidential third-party content without authorization, or content that you are not permitted to provide. Company-specific manuals, SOPs, safety policies, and private operating procedures remain private company references by default. Optional contribution to a general knowledge base requires separate rights, an affirmative opt-in, and PoolDocAI platform-owner review; submission does not automatically publish content or train a model.
5. Acceptable use
You may not use the service to violate laws, infringe intellectual-property or privacy rights, probe another tenant’s records, bypass access controls, upload malicious content, disrupt the service, or misrepresent AI-generated guidance as a verified inspection or repair. You may not attempt to use one company’s access to retrieve another company’s manuals, service requests, users, or diagnostic history.
6. Data, privacy, and retention
Use of the service is also subject to the Privacy Policy. Troubleshooting content, usage events, uploaded material, account information, and service-request details may be processed to provide and secure the service. Do not include unnecessary sensitive or personal information in troubleshooting messages. Any company-specific processing and retention commitments are governed by an applicable separate agreement.
7. Availability and changes
Features may be updated, suspended, or retired as the service evolves. Public demonstrations have limited functionality and are not equivalent to a paid subscription. To the extent allowed by applicable law and except where a separate written agreement provides otherwise, the service is provided on an “as is” and “as available” basis. PoolDocAI does not guarantee uninterrupted availability or the accuracy of AI-generated content.
8. Plans and billing
Plan descriptions and prices displayed before checkout becomes available are informational only and do not create a paid subscription. If paid services become available, any applicable billing, refund, tax, and subscription conditions will be presented before a purchase is authorized.
9. Contact and updates
For questions about these Terms or ordinary product inquiries, email hello@pooldocai.com. Do not send passwords, payment details, or other highly sensitive information by ordinary email. We may update these Terms as the service changes; revisions will be dated at the top of this page, and additional notice will be provided where required by applicable law.
